Terms and Conditions

These Terms and Conditions apply to all Insight Cuba programs.

The participant understands and accepts that the program fee must be paid, and a Participant Profile must be completed and signed at least 60-days prior to departure.

The Participant Profile includes:

  • Profile Checklist
  • Agreement and Release
  • Participant Information Form
  • Air Travel Application Form
  • Two copies of your U.S. Passport

1. Payment Policy

The Participant has agreed to pay the applicable program fee in consideration of Insight Cuba providing the opportunity for the Participant to engage in a licensed People-to-People Exchange program in Cuba, inclusive of accommodations and other services for the Participant as set forth below. A $275 non-refundable deposit, payable by check or credit card, is due at the time of registration. The remainder of the program fee and the completed Participant Profile packet, including this Agreement and Release, are due 60 days prior to the date that the Participant is scheduled to arrive at the location designated by Insight Cuba as the start location (the “scheduled arrival date”). Registration forms received less than 60 days prior to the scheduled arrival date will be accepted only upon review and subsequent approval of Insight Cuba. If payment in full for program fee is not received on or before the due date, the participant’s program will be cancelled.

2. Cancellation and Refund

Insight Cuba reserves the right, in its sole discretion, to reject any individual at any time prior to start date or to cancel the program start date in which a participant is scheduled to participate.

In the unlikely event of such a cancellation by Insight Cuba, or if a Participant has been rejected, the total amount paid to Insight Cuba (less airfare) will be refunded, unless the cancellation is due to non-payment of the program fee by the program fee’s due date or is due to governmental action beyond Insight Cuba’s control, in which case the amount refunded will be reduced to the extent Insight Cuba has incurred expenses in organizing the program that it is unable to recoup.  Other than such a refund, Insight Cuba will not be responsible to a Participant for any other refund, costs, interest, liability or damages of any kind.

If a participant cancels for any reason, the participant must notify Insight Cuba in writing. The cancellation will be effective upon Insight Cuba’s receipt of the written notification at its office in New Rochelle, New York.

Insight Cuba incurs substantial administrative and planning costs prior to the departure of a participant. Therefore, regrettably, if a participant cancels his or her participation in the program, funds paid by the participant to Insight Cuba can be refunded only as set forth below in Section 3.

The $275 deposit is non-refundable. Participant may apply the $275 deposit to another Insight Cuba program to be scheduled within 12-months of the scheduled start date, subject to space availability.

If the cancellation is effective,

  • Up to 91 days prior to the scheduled start date, the program fee paid, less the deposit and applicable airline cancellation penalties, will be refunded.
  • 90 to 61 days prior to the scheduled start date, Participant will be charged 25% of the program fee and the balance, less the deposit and applicable airline cancelation penalties, will be refunded.
  • 60 to 45 days prior to the scheduled start date, Participant will be charged 50% of the program fee and the balance, less the deposit and applicable airline cancelation penalties, will be refunded.
  • 44 to 31 days prior to the scheduled start date, Participant will be charged 75% of the program fee and the balance, less the deposit and applicable airline cancelation penalties, will be refunded.
  • Within 30 days prior to the scheduled start date, no portion of the program fee is refundable

No refunds will be made for unused portions of the program for any reason.

Participant is responsible for transportation to the start location. The Participant is also solely responsible for any airfare or other travel fees, charges, expenses or penalties, that might result from any cancellation of or change in the Participant’s program, whether the Participant cancels the program or it is cancelled or altered by Insight Cuba.

It is very important that a Participant understands the cancellation policy. If it is not clear, the Participant should ask for clarification. Insight Cuba cannot make exceptions to this cancellation policy for any reason, including medical emergencies. Insight Cuba strongly urges the Participant to purchase trip cancellation insurance.

3. Changes to Registration

Insight Cuba will allow participants to change their program start date or type of program, dependent on program availability. In addition, participants are able to use their deposit on file or funds on file, as per the cancellation and refund policy in Section 2, to register in a new program and/or program start date.

If a participant chooses to change his/her program start date or program type (or cancel their program and re-register using funds on file or a deposit on file) between 60 and 31 days before the original start date, a non-refundable U.S. $50 Change Fee will be assessed.

If a participant chooses to switch his/her program start date or program type (or cancel his/her program and re-register using funds on file or a deposit on file) between 30 and one day(s) before the original start date, a non-refundable U.S. $200 Change Fee will be assessed.

Changes are considered cancelled services and additional cancellation penalties may apply. Changes are subject to additional airline or hotel fees should the original rates no longer be available for your revised travel dates. Revisions to air tickets are subject to the airline fare rules, change fees, and cancellation policies. Air prices may vary depending on the day of travel, gateway city, routing, and airline class of service booked, which is determined by seat availability.

The Change Fee (or cancellation and re-registration using funds on file or deposit on file) is non-refundable and non-transferrable to any other programs. A Change Fee will be assessed each time the participant changes the program start date or program type and each time the participant cancels his/her program and re-registers using funds on file or a deposit on file. The Change Fee is assessed at the time of re-registration or at the time the change is made, and is charged to the participant before the remainder of the program fee balance is paid.

If available, changes from double occupancy to single occupancy will incur a single supplement charge. Insight Cuba does not guarantee the availability of single supplement requests made after the time of registration.

Each year, on August 31, the program fee, discounts, and other policies are recalibrated for the coming year. Registered participants who wish to make changes to their program will have a two-month grace period where only the Change Fee will apply. Registered participants who request to change their program beyond the two-month grace period may be subject to updated program fees in addition to the Change Fee.

4. Age Policy

Minimum age of a child traveling with a parent or guardian is 12 years old.  Program participants are required to be at least 18 years old when unaccompanied by an adult. If a Participant is between the ages of 12 and 18 and not traveling with their legal parent or guardian, a notarized note of consent is required from their legal parent or guardian.
